The Contracts Department is responsible for the effective management of approximately 800 customer agreements. Under the direction of the Contracts Team, the Coordinator is engaged in the research, preparation, and processing of contracts and related documents for assigned customer accounts for the HealthCare Nutrition (including Optifast) business. Coordinates and manages contract and pricing document files and department clerical needs. Serves as a liaison between Business Operations and Field Sales staff on contractual matters.

Primary Responsibilities:

Support the Contracts Department in managing the complete lifecycle of contractual relations and execution of contractual requirements through preparation of contract documents and customer communications, consistent with negotiated and approved requirements.

o Prepare customer correspondence and draft standard contract templates in a timely manner.

o Adhere to auditable processes and Quality Assurance ( QA ) activities.

o Provide clear communication of customer pricing, terms and conditions to internal departments to ensure smooth and accurate implementation in Nestl systems.

o Conduct on-going file maintenance, track relevant information and create appropriate documentation.

o Reviews, monitors, and processes all related correspondence to and from customer account and Field Sales staff to assure contractual documentation remains current and accurately reflects services and products purchased.

Support the Pricing Team with functions, including seeking and providing appropriate approval documentation to Contracts Team, updating price lists and templates, assisting with maintenance of Compendia reporting and auditing, and basic Pricing Analysis Worksheet preparation.

Assist the Contracts and Pricing Teams by working closely with Field Sales to manage expiring contracts and proposals to ensure customer pricing continuity.

Assist Contracts and Pricing Teams with administrative functions, including proposal assembly, filing, ordering supplies, contract archiving, and logging data into Contracts and Pricing databases.

Assist with special projects (contractual communications and notices).

Assist with maintaining and preparing routine reporting.

Provide a high level of consistent, positive customer experiences.

Communicates professionally and appropriately with both internal and external customers.

Participation and support of continuous process improvement initiatives.

Other duties as directed and assigned.

Qualifications EXPERIENCE AND EDUCATION REQUIREMENTS

High School diploma or equivalent required; Bachelor s degree preferred

1-3 years experience in office setting

Prior exposure or training in contractual documentation preferred

1-3 years experience in Healthcare Industry and general understanding of the distribution systems preferred

High level of proficiency in a variety of PC applications such as Excel, Word, Access, etc.
